Refund & Cancellation Policy

REFUND AND CANCELLATION POLICY

Coterie Athletics — operated by Yobetech Corp., an Ontario corporation

Last Updated: October 30, 2026

This Refund and Cancellation Policy (“Policy”) explains when you get money back on the Coterie Athletics platform (the “Platform”) and how much. It forms part of the Coterie Athletics Terms of Service (“Terms”), and capitalized words not defined here have the meaning given in the Terms. If this Policy conflicts with the Terms, the Terms apply. For Third-Party Hosts and Facility Owners, the Host Agreement explains who funds each refund; a Facility Owner who lists a venue for an Event is treated as the Host of that Event under this Policy.

Nothing in this Policy limits any right you have under consumer protection law that cannot be waived.

1. What You Pay

Before you pay for an Event, you will see each amount you are being charged:

• Base Fee: the entry fee the Host sets for the Event, per participant or per team;

• Service Fee: Coterie’s fee for use of the Platform;

• Processing Fee: covers the card processing cost charged by our payment processor, Stripe; and

• HST: applied where required. HST is charged on the Base Fee only if the Host is registered for GST/HST.

In this Policy, a full refund means you get back everything you paid for the registration: the Base Fee, Service Fee, Processing Fee, and HST. A partial refund means you get back 50% of each of those amounts. Coterie sets this percentage, and it is the same for every Event.

2. Each Event Has Its Own Refund Policy

When a Host creates an Event, they choose its refund policy from the refund tiers below. The amount you get back if you cancel your own registration depends on that Event’s refund policy and on when you cancel. The Event’s refund policy, including its deadlines and any partial refund percentage, is shown on the Event page and again at checkout before you pay.

• No Refund: you will not get a refund if you cancel your own registration, for any reason.

• Flexible: you get a full refund if you cancel before the deadline shown for the Event, and a 50% refund if you cancel after that deadline but before the Event starts. The Host chooses the deadline from three options: 24 hours, 7 days, or 14 days before the Event starts.

• Moderate: you get a 50% refund if you cancel any time before the Event starts.

• Generous: you get a full refund if you cancel any time before the Event starts.

Under every tier, you will not get a refund if you cancel after the Event starts. For a league or other multi-session Event, the Event starts at its first session. Under every tier, you always get a full refund if the Host cancels the Event (Section 6), if the Event is cancelled for reasons outside anyone’s control (Section 7), or if the Event’s risks or rules change and you choose not to accept the updated waiver (Section 8).

3. Cancelling Your Own Registration

You can cancel a registration in the Coterie app from your upcoming Events. The time you cancel is the time recorded by the Platform, and deadlines are measured against the Event’s scheduled start time in the Event’s local time zone.

If you do not attend an Event and did not cancel, you will not receive a refund.

4. Ladders

For a ladder, the Event’s refund policy applies only until the ladder starts. The ladder’s start date is shown on the Event page. Once the ladder has started, you will not receive a refund if you cancel or withdraw, whatever tier the Host chose.

5. Tournaments, Teams, and Waitlists

Team payments. Some tournaments use group payment, where each team member authorizes their own share. No one is charged until every team member has authorized their share. If a team member declines, or the authorization window expires, no one is charged and the team is not registered.

Team refunds. When a team registration is refunded, each refund goes back to the person who paid that share, using the payment method they used. If a team captain paid for a player who is later substituted off the roster, the captain receives a refund of that player’s share automatically.

Waitlists. You are never charged for joining a waitlist. If a spot opens and you are offered it, you will have a limited time to accept and pay. If that time passes, you are not charged and the spot is offered to someone else. Once you accept and pay, the Event’s refund policy applies to your registration.

6. Events Cancelled by the Host

If a Third-Party Host or Facility Owner cancels an Event, or Coterie cancels a Coterie-Hosted Event, you will receive a full refund automatically. You do not need to do anything. This also applies if Coterie removes a Host from the Platform, or cancels an Event because the Host breached the Host Agreement.

7. Cancellations Outside Anyone’s Control

If an Event is cancelled for reasons outside anyone’s reasonable control, such as severe weather, a Facility becoming unavailable, or a public health or safety order, and Coterie approves the cancellation, you will receive a full refund. If Coterie does not approve it, the cancellation is treated as a cancellation by the Host under Section 6, so you still receive a full refund. For an outdoor Event, the Host will tell you through the Platform at least 2 hours before it starts whether the weather allows it to go ahead. If conditions become unsafe after that, the Host may still stop or cancel play for safety.

8. Changes to an Event’s Risks or Rules

If the Host materially changes the risks or rules of an Event after you register, you will be asked to accept the updated Event waiver before you take part. If you do not want to accept it, you may cancel your registration and receive a full refund, whatever the Event’s refund policy says.

9. Account Closure and Suspension

If you close your account, or Coterie suspends or terminates it because you breached the Terms, each upcoming registration that is cancelled is treated as if you cancelled it yourself, so the Event’s refund policy applies. If Coterie closes your account for any other reason, you receive a full refund for each cancelled registration. If Coterie discontinues the Platform, cancelled registrations are refunded in full under Section 7.

10. Events Suspended for a Breach or Safety Reasons

If Coterie cancels or suspends an Event because of a breach of the Terms or for safety reasons, Coterie will decide refund eligibility in its reasonable discretion, as described in Section 6 of the Terms.

11. Goodwill Refunds from a Host

A Host may choose to give you a refund at any time, for example to resolve a complaint, even if the Event’s refund policy would not require one. When a Host does, Coterie also refunds its Service Fee in the same proportion as the Base Fee refunded. The Processing Fee is not refunded on a goodwill refund.

12. How Refunds Are Paid

Refunds go back to the original payment method you used at checkout, through Stripe. Refunds for cancelled Events are issued automatically. Once a refund is issued, it usually appears within 5 to 10 business days, depending on your bank or card issuer. If you have not seen a refund after 10 business days, contact us and we will look into it.

Refunds are issued in Canadian dollars. Coterie is not responsible for currency conversion differences or fees charged by your bank or card issuer.

13. Chargebacks

If you think you were charged in error, please contact us before you dispute the charge with your bank or card issuer, as we can usually fix the problem faster. You keep any right you have to dispute a charge with your card issuer. If you file a chargeback for a payment that was processed correctly under this Policy, Coterie may suspend your account while the dispute is resolved.

Between Coterie and Hosts, chargebacks are handled under Section 5.6 of the Host Agreement. This never reduces a refund you are owed under this Policy.

14. Questions and Disputes

If you disagree with how a refund was handled, contact us through the Support section of the Coterie app or by email at [email protected], with the Event name, your registration date, and a short description of the issue. Please contact us within 30 days of the Event date so we can review the records while they are fresh. We will review your request and reply.

If we cannot resolve it, you may take the dispute to court as described in Section 16 of the Terms, including Small Claims Court.

15. Changes to This Policy

We may update this Policy from time to time, and we will notify you of material changes in the app or by email before they take effect. A change does not affect any registration you made before it took effect: the refund policy shown when you registered continues to apply to that registration.
